The Job: 

  • Provide administrative support and respond to general inquiries and requests for information
  • Meets and greets clients, customers and visitors
  • Answers all incoming calls
  • Responsible for outgoing and incoming mail and faxes; orders courier services
  • Maintains office inventory levels and orders supplies; tracks against budgets
  • Ensures that the workplace (including all kitchens and photocopier rooms) is neat and tidy; assists staff with office moves, layouts and desk setups for new hires; maintains paper levels in the copy rooms; contacts building maintenance when required, handles all photocopier issues and maintenance
  • Assists with all new hire setups and maintains ID badges, office keys and parking passes
  • Assists Accounting with the processing of time sheets and senior executives expense reports
  • Organizes, schedules and readies boardrooms for meetings; arranges and distributes catering
  • Prints and prepares manuals, company brochures and business cards
  • Assists Contracts Department with administrative tasks such as: distributing and filing contracts; managing and submitting security clearances and controlled goods reports; performing data entry and general correspondence.
You Bring:
  • Some post-secondary education in office services
  • 3-5 years minimum working in an office environment
  • Strong attention to detail, excellent interpersonal skills; excellent written and verbal communication; strong MS Office experience; detail oriented; stong time management skills
  • Ability to handle confidential and sensitive information 
  • Required to deal with frequent interruptions and multiple tasks and meet tight deadlines
  • Strong interpersonal skills, the ability to work with employees and visitors at all levels, and being professional in all situations
  • Knowledge of standard office equipment
  • May require some lifting of supplies and materials
  • Must be eligible for a Canadian security clearance*
