Who you are:

Are a multi-tasking and coordinating master – you will be the Shared Service Coordinator responsible for all aspects of the facilities portfolio. This includes but is not limited to office services, leasing, security, property management, space allocation, renovation and design. In short they are responsible for the efficient functioning of all OSI facilities.

The Job:
  • Manage the day to day operations of all OSI offices
  • Project management, budgeting and financial reporting for facility modifications such as new facilities, remodels and relocation
  • Organizes, schedules and readies boardrooms for meetings as requested; arranges and distributes catering
  • Prints and prepares manuals, company brochures and business cards as requested
  • People planning, capacity optimization, leasing, scalability, and location
  • Oversee the implementation and management of physical security at all corporate facilities
  • As Assistant Security Officer, manage the facilities security clearance as well as the individual security clearances required
  • Assists with all new hire setups and maintains ID badges, office keys and parking passes
  • Front line Help Desk coordination
  • Printer/copier support
  • Supports the management of corporate leases, including lease negotiation and operating permits
  • Evaluate and qualify contractors and vendors for facility projects
  • Develop the corporate facilities budget and manage expenditures accordingly
  • Manage all aspects of facilities maintenance
What you bring:
  • Bachelor degree, or equivalent industry experience.
  • 5+years of managing facilities preferably in multiple countries.
  • Contract negotiation, contractor management; space planning, general building maintenance and office management.
  • Excellent judgment and negotiation skills; ability to work independently or in a team environment; ability to develop cooperative relationships and work effectively with anyone; excellent written and spoken English; strong computer skills including good familiarity with Microsoft Office; ability to organize and implement effective procedures.
  • Working knowledge of: domestic and international leasing practices.
  • Must be eligible for a Canadian security clearance*
